Summer Camp Waiver, Liability Release, and Terms & Conditions

Waiver, Liability Release, and Photo Consent

By enrolling my child in any Hidden Bee Farm / Hidden Bee Learning program, I acknowledge and agree to the following terms and conditions regarding participation, safety, liability, and media use.

1. Assumption of Risk & Release of Liability

I understand that participation in Hidden Bee Farm / Hidden Bee Learning activities involves inherent risks, including but not limited to:

  • Scrapes, bruises, sprains, or minor injuries related to outdoor play
  • Risks associated with animal interactions, including bites, scratches, or allergic reactions
  • Weather-related conditions such as heat exposure, sunburn, dehydration, or insect bites
  • Risks of participation in water activities, including drowning or waterborne illnesses
  • Risks associated with physical activities, farm work, and natural terrain, including but not limited to falls, allergic reactions, and exposure to wild animals or plants
  • The potential for serious injury, illness, or in rare cases, death due to unforeseen circumstances

I acknowledge that Hidden Bee Farm / Hidden Bee Learning has taken reasonable precautions to ensure a safe environment; however, I assume all risks associated with my child’s participation. I voluntarily release, discharge, and hold harmless Hidden Bee Farm, Hidden Bee Learning, Hidden Bee Animal Rescue, its owners, staff, volunteers, and affiliates from any claims, liabilities, injuries, or damages, including serious injury or death, except in cases of gross negligence or intentional misconduct.

2. Medical Authorization & Emergency Care

In the event of an accident, injury, or medical emergency involving my child, I authorize Hidden Bee Farm / Hidden Bee Learning staff to seek emergency medical treatment as deemed necessary. I understand that all reasonable efforts will be made to contact me or the emergency contact listed on my child’s registration form.

I acknowledge that I am financially responsible for any medical treatment required as a result of my child’s participation in camp activities. I also understand that staff members are not authorized to administer medication and that I must provide any necessary medical information in advance to ensure appropriate precautions are taken.

3. Code of Conduct & Behavior Expectations

To ensure a safe and respectful environment, all campers are expected to:

  • Treat peers, staff, volunteers, and animals with kindness and respect
  • Follow directions and safety guidelines given by camp staff
  • Respect farm property, nature, and all camp materials
  • Engage in activities in a safe and cooperative manner

Disruptive behavior, aggression, bullying, or failure to follow camp rules may result in dismissal from the program without a refund. If a child is dismissed due to behavioral concerns, parents will be contacted immediately for prompt pickup.

4. Photo & Media Release

I authorize Hidden Bee Farm / Hidden Bee Learning to take photographs and/or videos of my child during camp activities for use in promotional materials, social media, websites, and publications. These images may be used without personal identification unless otherwise specified.

If I do not want my child’s image used in media, I will indicate this preference on the registration form.

5. Payment, Cancellation, & Refund Policy

I acknowledge and agree to the following payment and cancellation policies:

  • A $50 non-refundable deposit is required at registration and will be applied toward the total camp fee.
  • All camp payments must be completed by May 1, 2025. If payment is not received by this deadline, the camper’s spot may be released to the waitlist.
  • Cancellations before May 1 will be refunded minus the $50 deposit.
  • Cancellations after May 1 are non-refundable due to staffing, material costs, and program planning.
  • Families cannot find their own replacements for canceled spots; all cancellations and waitlist requests must go through the camp office.
  • Session transfers are allowed at no additional cost, but availability is not guaranteed.

6. Acknowledgment & Agreement

By enrolling my child, I confirm that I have read and understand this Waiver, Liability Release, and Photo Consent Agreement. I acknowledge that participation in camp activities carries inherent risks, including the possibility of serious injury, illness, or death. I voluntarily accept all terms and conditions outlined above and agree to hold Hidden Bee Farm / Hidden Bee Learning and its affiliates harmless from liability except in cases of gross negligence or willful misconduct.

I understand that if I have any questions or concerns, I may contact Hidden Bee Farm / Hidden Bee Learning before camp begins.
